Role Purpose

The Office Manager will be responsible for the efficient administration and day-to-day running of the firm’s office, ensuring smooth coordination across the accounting, auditing, and tax departments. The role will provide vital operational support to senior management and ensure that administrative processes, compliance standards, and client communications are managed effectively.

Key Responsibilities :

  • Oversee daily office operations and ensure all administrative functions run efficiently.
  • Supervise and coordinate support staff, delegating tasks to ensure effective workflow across all departments.
  • Maintain and update client records, files, and databases in compliance with regulatory and confidentiality requirements.
  • Monitor deadlines for statutory filings, tax submissions, and client deliverables to ensure timely completion.
  • Act as the first point of contact for client communications, handling queries professionally and escalating where necessary.
  • Support Directors and senior management with preparation of internal reports, HR records, and compliance documentation.
  • Implement and improve office systems, procedures, and policies to enhance operational efficiency.
  • Manage office resources, supplies, and facilities to ensure a professional working environment.
  • Assist with onboarding of new employees, maintaining personnel records, and supporting payroll administration.
  • Coordinate meetings, prepare agendas, and ensure accurate record-keeping of internal and client-facing discussions.

Skills, Experience, and Qualifications Required

  • Bachelor’s degree in Business Administration, Management, or a related discipline (or equivalent professional experience).
  • Minimum 3–5 years of office management or administrative leadership experience, ideally in a professional services firm.
  • Proven supervisory skills with the ability to manage and motivate staff.
  • Strong organizational and time-management skills, with the ability to priorities competing demands.
  • Excellent written and verbal communication skills for client-facing and internal correspondence.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and familiarity with cloud-based business management tools.
  • High attention to detail and understanding of compliance and confidentiality requirements in a regulated environment.
